The problem (today)

Running a £40k self-employed business on spreadsheets, group chats and memory drains time, hides risks, and hits cash flow. When Hublix isn’t active or fully set up (or if access pauses), you’re back to:

  • Hours lost every month chasing invoices and fixing deductions across emails and WhatsApp.
  • Disputes without proof — weak incident/photo trails mean delays and write-offs.
  • Compliance gaps — licence/insurance/MOT expiries cause downtime.
  • Tax scramble — receipts scattered, HMRC deadlines looming.
  • Coordination sprawl — Finance, Transport, Fleet in different channels.
  • Signature chasing — paper forms and unsigned PDFs stall payouts and disputes.
  • KPI blind spots — alerts arrive after the week closes, so bonuses slip.
Reality check: Managing a £40k business like this doesn’t scale. Hublix makes it one app, five minutes a day.

What costs you

The subscription is tiny next to the avoidable losses Hublix prevents.

  • 15 admin hours/month = £150–£225 lost income.
  • Missed bonus tier = £50–£100/month.
  • One unprotected incident = £500–£2,000 liability.
  • Disorganised records → accountant time = £300–£600/year
  • Expired document = days without work = £600–£1,000 lost income.

Illustrative ranges based on typical SP scenarios; not a guarantee of earnings.

Hublix stops these losses before they happen.

DSP decision (why)

Your DSP has made Hublix a platform condition so thousands of Service Providers can be paid, audited and supported in real time. You remain self-employed—using Hublix does not change your status (employee, worker and self-employed are distinct in UK law). GOV.UK

Payment processing: Without Hublix there’s no scalable way to capture route data, calculate earnings, check deductions or approve payments. With Hublix, postings happen in real time.
Compliance documentation: DSPs must be able to demonstrate compliance and keep auditable records. Hublix supplies Amazon-compliant exports and evidence your DSP relies on.
Real-time coordination: Thousands of SPs, vehicles and routes need instant comms, scheduling and incident workflows. WhatsApp and spreadsheets can’t cope; Hublix can.
Status reminder: You choose to work with the DSP and can treat the software subscription as an allowable expense when used wholly for business (e.g., renewing computer-software licences).

Dates & access

Your DSPs require an active Hublix subscription for platform access.

  • Effective date: Sunday 16 November 2025 (subscription required for access).
  • Setup deadline: Wednesday 12 November 2025 (23:59).
  • First charge: Thursday 13 November 2025 for Sun 16–Sat 22 Nov, then every Thursday for the upcoming week.
Access consequence: No active subscription = no Celerity system access = no service blocks via Celerity = no income from that DSP.
What changes on 16 November?
  • Hublix login requires an active subscription from 00:01 on Sunday 16 November.
  • Weekly billing runs every Thursday for the upcoming week under a Continuous Payment Authority (CPA)—a recurring card charge you consent to.
  • Your first payment may require Strong Customer Authentication (3-D Secure); future charges run automatically under your CPA.
  • Grace window: if Thursday’s charge fails, update payment by Saturday 23:59 or access pauses Sunday 00:01.
  • You can cancel in Hublix to stop future charges, or ask your card issuer to stop a CPA going forward (FCA).

Your monthly value

Hublix centralises payments, compliance, incidents and comms so you keep the money you earn. Typical monthly value £300–£750; net benefit £235–£755 after the subscription.

Time reclaimed

8–12 hours/month less admin (illustrative £80–£180 value) by automating invoices, deductions, document checks and comms.

Bonuses protected

Live KPI dashboard + threshold alerts help you fix issues in the same week, so incentive tiers stay intact.

MTD & tax efficiency

HMRC-aligned digital records, mileage tracking and receipt capture reduce accountant time and help you be ready as Making Tax Digital for Income Tax phases in (£50k turnover from 6 Apr 2026; £30k from 6 Apr 2027; £20k from 6 Apr 2028 as planned).

Incident & compliance cover

Guided incident reports with evidence, vehicle checks and document alerts help avoid penalties and £500–£2,000 liabilities.

Value snapshot: Hublix costs ~0.5–0.7% of weekly earnings and typically returns 10–20%+ through saved time, protected bonuses and avoided losses.

Price & tax

What you pay:The £4.99 base cost is a business expense when used wholly for work (HMRC allows computer software used <2 years or on a recurring licence).

  • Headline subscription: £4.99/week .
  • Basic-rate relief (20%): about £1 back per week → effective cost ~£3.99/week (~52p/day) when eligible. (Your rate may differ.)
  • Annual picture: £311.48 gross → ~£52 tax relief → ~£259.48 effective cost.
  • More you can claim: mileage, phone, supplies and software—Hublix helps you capture records so typical missed deductions of £500–£1,500/year aren’t lost.
Double advantage: You deduct the subscription itself and use Hublix to log every other deductible expense—keeping more of what you earn.

General information, not tax advice—check HMRC or your accountant.

Compliance made easy

Clients ask for evidence (Amazon audits); UK law expects accurate records. Hublix packages the workflows so you can prove both without scrambling.

Amazon-ready proof

  • Live KPI dashboards with threshold alerts.
  • Route completion & incident trails (photos/GPS/statements).
  • Document vault with automated expiry alerts.
  • Built-in e-signature with audit trail to prove who signed, and when. Electronic signatures are legally valid in England & Wales when there’s intent and any formalities are met.

UK law aligned

  • MTD-ready ledgers & exports as obligations phase in from 6 Apr 2026.
  • DVLA/MOT & insurance reminders to keep evidence handy.
  • UK GDPR-aligned storage with exportable audit trails (accountability principle).
Amazon compliance: No active subscription from Sunday 16 November → no Hublix access → no Celerity system access → no service blocks → no income from that DSP.
Proof on demand: Guided incident reports, vehicle checks and document evidence keep you covered when Amazon or HMRC asks for records.

Scale reality

Modern DSP operations run thousands of routes and hundreds of vehicles at once. Spreadsheets and group chats don’t scale under that load.

  • 1,000+ Service Providers × manual management = delays and errors.
  • 230+ vehicles × manual tracking = chaos when evidence is needed fast.
  • Thousands of weekly routes × spreadsheets = non-trivial error risk.
  • Only a centralised system keeps payments, safety checks and compliance records in sync.
Engine room: Hublix is the real-time system that keeps payments, safety and compliance aligned across the whole network.
